Advancement Coordinator

The Advancement Coordinator is a new role at Seed Effect, designed for someone with a hospitable heart, an energetic demeanor, an organized mind, and a deep desire to grow into the work of fundraising. You will serve as a trusted extension of the Executive Director, helping cultivate and care for the donor relationships that fuel Seed Effect’s work.

This is a relational, behind-the-scenes, and in front-of-the-room role. You will help host donor lunches and dinners, send handwritten notes and thoughtful follow-ups, coordinate cultivation events, care for The Greenhouse and mid-level donors, and keep the Advancement Team’s rhythms running smoothly.

This role is designed to grow. While the Executive Director currently leads donor solicitations, you will develop fundraising fluency over time and may step into deeper portfolio responsibilities and donor asks as you demonstrate readiness. We are looking for someone we can invest in.

What You’ll Do

Cultivate donor relationships alongside the Executive Director
  • Help prepare for donor meetings: briefing materials, background research, talking points, and follow-up support.

  • Execute timely, thoughtful touchpoints between meetings: handwritten notes, gratitude calls, drop-offs, and prayer follow-ups.

  • Ensure no relationship goes cold and no follow-up gets missed.

Care for The Greenhouse and mid-level donors
  • Serve as the primary point of contact for The Greenhouse (monthly) donors and mid-level supporters.

  • Plan and execute the cultivation rhythm: welcomes, monthly touches, retention efforts, and stewardship moments.

  • Surface donors showing readiness for deeper engagement.

Host and execute donor events
  • Co-host coffees, lunches, and dinners alongside the Executive Director, ensuring every meal is engaging, intentional, and well-prepared.

  • Plan and execute exclusive cultivation gatherings and stewardship events.

  • Travel for in-person donor visits in the U.S. and occasionally to Uganda

  • Coordinate donor trips to Uganda, handling U.S.-side logistics and donor preparation in partnership with the Director of Programs.

  • Prepare donors for their visit with a thoughtful pre-trip orientation: program context, cultural insights, and practical guidance to help the trip land well.

Keep records clean and current
  • Document every interaction, commitment, and next step in Virtuous CRM and monday.com.

  • Maintain a clean, visible donor pipeline and surface stalled relationships.

Administer Mass Giving & Communications
  • Maintain the campaign and communications calendar.

  • Track deliverables and deadlines, coordinating handoffs across staff and contractors (Designed for Good, era92 Creative, and others).

  • Surface stalled items, gaps, or risks for resolution.

Manage gift intake operations
  • Pick up donor mail weekly and route checks and correspondence promptly.

  • Prepare and execute weekly bank deposits in partnership with the Director of Operations and the Gift Operations contractor.

  • Scan and upload donor documents and gift records into Google Drive.

Respond to donor inquiries
  • Return donor voicemails, emails, and inquiries with warmth and care.

  • Handle sensitive moments such as gift cancellations and address changes with grace and gratitude.

  • Make sure no donor inquiry goes unanswered.

What We’re Looking For

Required
  • 1–3 years of experience in administrative support, hospitality, events, ministry, development, or a related field.

  • Excellent organizational skills and close attention to detail.

  • Warmth and emotional intelligence in interactions with people of all backgrounds.

  • Strong written and verbal communication.

  • Comfort with Google Workspace and willingness to learn Virtuous CRM and monday.com (or experience with comparable tools).

  • Ability and willingness to travel domestically and occasionally internationally, including to Uganda.

  • Comfort hosting and co-hosting donor meals, including in restaurants and home settings.

  • Availability for occasional evening and weekend donor events.

  • Personal commitment to Christ-centered ministry and alignment with Seed Effect’s mission, values, and statement of faith.

Helpful but not required
  • Prior experience in nonprofit fundraising, advancement, or donor relations.

  • Experience with Virtuous CRM.

  • Experience supporting a senior leader or executive.

  • Background in event planning.

  • Bachelor’s degree.
